RULES
FOR EXHIBITING
EXPOSITION
COMMITTEE. The words "Exposition Committee" designated herein shall refer to
the ITC/USA or its Officers,
Employees, or Agents acting for them in the management of the Exposition.
ELIGIBLE
EXHIBITORS. (a) The Exposition Committee reserves the right to determine the
eligibility of any Exhibitor, or product for exhibit, for inclusion in the
Exposition. (b) Exhibitors must be manufacturers of the products displayed, or
manufacturers' representatives displaying products of eligible manufacturers
and publishers of educational texts or materials.
EXHIBITORS
RESPONSIBILITY. (a) Exhibit Booths must be manned at all times by qualified,
regular employees of the Exhibitor (or his authorized representative), and
must demonstrate and explain the products displayed. (b) Each Exhibitor must
designate at least one person to be his representative in connection with
installation, operation, and removal of the Exhibit Display. This authorized
representative may enter into the necessary service contracts for which the
Exhibitor shall be responsible.
SUB-LEASING
OF SPACE. No Exhibitor may assign, sub-let, or apportion the whole or any part
of the space assigned to him, nor permit any other party to exhibit therein,
nor to distribute any promotional or advertising materials
in the occupied space of the Exhibitor except as may be permitted by
the Exposition Committee.
NON-COMPLIANCE.
(a) The Exhibitor agrees that his Display shall be admitted and remain on a
day-to-day basis solely on strict compliance with the rules herein formulated.
The Exposition Committee reserves the right to prohibit, reject, or eject any
Display, in whole or in part, or any Exhibitor or Exhibitor's representatives,
with or without giving cause. If cause is not given, liability shall not
exceed the return to the Company of the rental unearned at the time of
ejection. (b) If an Exhibitor is ejected for violation of these rules, or for
any other reason, no return of rental shall be made.
EXHIBITOR
SOLICITATIONS. (a) Exhibitors must limit their activities within the confines
of contractual space. Exhibitor activities must be conducted in a manner
consistent with non-interference of activities legitimately exercised by other
Exhibitors. (b) The distribution of Exhibitors' products, catalogs, pamphlets,
printed material. Souvenirs, etc., must be conducted entirely within the
Exhibitors Booth Space. (c) No Exhibitor promotional activities will be
permitted outside the confines of the Exhibitor's contractual space. This
includes exhibits in any hotel room suite, public or private display room
except his duly established sales office.
LIMITS
OF LIABILITY. (a) The Exposition Committee shall not be responsible for any
injury, loss, or damage that may occur to the Exhibitor or to the Exhibitor's
property, employees, or any others designated by him, from any cause
whatsoever prior, during, or subsequent to, the period covered by the Exhibit
Contract. Nor shall the Exposition Committee be held liable for any Act of God
which makes the facilities unusable during the contractual period. (b) The
Exhibitor furthermore, upon signed contract, releases the Exposition Committee
from and agrees to indemnify and save harmless the Exposition Committee
against any and all claims for such loss, damage and injury to Exhibitor or
Exhibitor Personnel while in Exposition Quarters. (c) Exhibitors are liable
for any damage caused by affixing displays to building floors, walls, or to
standard booth equipment, or for damages caused by Exhibitor in any other
manner. This liability also extends to paint, adhesive, lacquer, or any other
coating, applied to building walls or floors or to standard booth equipment.
(d) The Exposition Committee will not be responsible for delays, damage, loss,
increased cost, or any other unfavorable conditions caused by circumstances
beyond its control. (e) Should any contingency prevent holding the Exposition,
the Exposition Committee may retain such part of the Exhibitor's rental as
shall be required to re-compensate it for expenses up to the time such
contingency shall have occurred.
FAILURE
TO OCCUPY SPACE. Any space not occupied by 9:00 A.M. Tuesday, October 28, 2008
will be forfeited by the Exhibitor, and this space may be resold and
reassigned without refund unless arrangements for delayed occupancy have been
approved by the Exposition Committee.
NOISE.
Public address and the use of loud devices for the mechanical reproduction of
sound beyond the individual Exhibitor's Booth, or excessive operating noise
which distracts neighboring Exhibitors from authorized performance, is
prohibited.
INSURANCE.
Fire, theft, and liability insurance protecting the Exhibitor is mandatory and
must be arranged for by the individual Exhibitor at the Exhibitor's expense.
The Exposition Committee insurance does not cover individual displays. Proof
of insurance must be provided 30 days prior to the Conference. Floater
policies of whatever nature are strongly recommended to the Exhibitor.
FIRE
LAWS. (a) Federal, State, and City Fire Laws must be observed. Cloth and
non-fire retardant materials must be flame proofed. Electrical wiring must
comply with Fire Department and Underwriters' rules. (Exhibitors should
contact ITC Exhibits for additional information.) (b) All inflammable
materials (excelsior, wrapping paper, etc.) must be removed from the Exhibit
Area prior to Exposition Opening time. (c) Aisles and fire exits cannot be
blocked by Exposition displays; and, all Exhibitor equipment must be placed
within the confines of booth limits. No combustibles of any nature may be
brought into the Exposition Facility without permission, in writing, from the
Exposition Committee.
LABOR.
Exhibitors are required to comply with Union Labor regulations as designated.
Union labor will be made available by the sub-contractors, where necessary.
ATTENDANCE.
The Exposition Committee shall have sole control over attendance policies at
all times.
CONTESTS.
(a) Drawings, lotteries, attendance or product surveys, etc. shall not be
allowed without special permission in writing, from the Exposition Committee.
(b) Demonstration by live models, pantomime, dancing, or acting, is prohibited
unless specifically approved by the Exposition Committee.
WATCHMEN.
The Exposition Committee will employ reputable guards during the course of the
Exposition.
JANITORIAL
SERVICE. (a) The Exposition Committee will have Exhibit Area aisles swept and
cleaned once each day during the closed hours. This service does not include
dusting, arranging, or otherwise cleaning or maintaining the area within the
confines of the individual Exhibitor's area. (b) In addition, hotel employees
will clean ash trays and service Exposition Hall at regular intervals during
Exhibition hours.
ARRANGEMENTS
OF EXHIBITS. (a) Arrangement of exhibits will be in accordance with the "Guidelines for Display Rules and
Regulations 2005” published by the International Association for
Exposition Management (IAEM). (b) The Exposition Committee will supply
standard booth equipment consisting of a rear background of curtains on a
frame not to exceed 8' in height, two side dividers of curtains on frames not
to exceed 3', a two-line name sign, and basic exhibit hall carpeting.
SHIPMENT
OF TECHNICAL DISPLAYS, MATERIAL, AND SERVICE REQUIREMENTS. A complete
Exhibitor's Service and Information Manual will be furnished to each signed
Exhibitor by the Exposition Committee, covering these subjects in detail. This
Manual will include drayage services for the storage and delivery of
shipments; information on rentals of furniture; special construction and booth
labor to be supplied by the official decorator; as well as additional services
necessary to aid the Exhibitor. This information will reach each signed
Exhibitor in ample time for advance planning.
All
food and beverage requirements for hospitality suites and meeting rooms must
be contracted for through the Rivera when in Las
Vegas or the Town and Country when in San Diego.
AMENDMENT
TO RULES. Any and all matters, or questions not specifically covered by the
preceding Rules and Regulations shall be subject solely to the decision of the
Exposition Committee. These Rules and Regulations may be amended at any time
by the Exposition Committee and all amendments so made shall be binding on the
Exhibitors equally with the foregoing Rules and Regulations.
